ICES Guide to Submission and Peer Review Process
This guide will provide information regarding key dates, planning, contact points as well as general & Easy Chair instructions that will help AUTHORS with the submission and overall management of their paper(s).
This document will also clarify publication acceptance criteria for ICES, outline guidance for the ethical review of conference papers, to define the roles and responsibilities of the ICES Organization Committee members, session organizers, reviewers, and authors, and to provide a clear process for appealing decisions.
MANUSCRIPT SUBMISSION CHECKLIST
ALL submissions (including drafts) must meet these minimum template requirements for publication. Drafts submitted with publication errors will need to be corrected and resubmitted. Find the Manuscript Submission Checklists for Drafts and Final manuscripts on page 7 of the ICES Paper Template.
- File is .docx format for all Drafts; File is .pdf for the Final Manuscript
- Line numbers are visible along the left-hand margin for all Drafts; Line numbers are removed for the Final Manuscript
- Paper number is located in the upper right corner of the headers
- Conference details are located in the upper left corner of the headers
- Copyright on page 1 of footer has been either assigned or removed if not applicable
- Footers on page 2 and subsequent include centered page number and conference name immediately below the page number
- Abstract matches EasyChair content (note that EasyChair can be updated if needed)
- Authors match EasyChair authors (note that EasyChair can be updated if needed)
- Title matches EasyChair title (note that EasyChair can be updated if needed)
- Paper length (including references and appendices but excluding this page) is 15 pages or fewer

ICES 2026 Paper Template
It is a requirement to use the current year’s template as updates are made annually. The instructions on the template provide guidelines for preparing papers for the International Conference on Environmental Systems. Use this document as a template if you are using Microsoft Word 2000-XP or later, or Word for Mac. Otherwise, use this document as an instruction set.
Paper Presentation
The recommended format is Power Point and there is no presentation template. Presenters will be given 20 minutes to present with 10 minutes of Q&A.
